Privacy Policy
Sanōva AI, LLC ("Sanōva," "we," "our," or "us") operates the Sanōva Storm platform available at storm.sanova.ai and sanova.ai (collectively, the "Services"). This Privacy Policy explains how we collect, use, disclose, and protect your personal information when you use our Services.
1. Information We Collect
Information You Provide
When you create an account, book a demo, or use our Services, we collect: name, email address, phone number, business name, and professional information. We also collect content you submit, including intake responses, vehicle information, and communications.
Information Collected Automatically
When you use our Services, we automatically collect usage data (pages visited, features used, time spent), device information (browser type, operating system, IP address), and log data (access times, referring URLs).
Call and Communication Data
When customers interact with your AI intake agent via voice, SMS, or web chat, we collect and store transcripts and voice recordings of those interactions. This data is associated with your shop account and is used to operate the Services and generate session quality reviews.
2. How We Use Your Information
We use the information we collect to: provide, operate, and improve our Services; process transactions and send related information; send communications you request; respond to your comments and questions; monitor and analyze usage trends; detect and prevent fraudulent or unauthorized activity; and comply with legal obligations.
3. Information Sharing and Disclosure
We do not sell, trade, or otherwise transfer your personal information to third parties for their own marketing purposes. We may share information in the following circumstances:
- Service Providers: We work with vendors who help operate our Services (hosting, payment processing, communications infrastructure). These providers access data only to perform services on our behalf.
- Business Transfers: In the event of a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction.
- Legal Requirements: We may disclose information if required by law or in response to valid legal process.
- Protection of Rights: We may disclose information to protect the rights, property, or safety of Sanōva AI, our customers, or others.
4. Data Retention
We retain your information for as long as your account is active or as needed to provide Services. Call recordings and transcripts are retained for 90 days by default. You may request deletion of your data by contacting us at privacy@sanova.ai. We will honor deletion requests within 30 days, subject to legal obligations.
5. Data Security
We implement appropriate technical and organizational measures to protect your information against unauthorized access, alteration, disclosure, or destruction. These include encryption in transit and at rest, access controls, and regular security assessments. No method of transmission over the Internet is 100% secure, however, and we cannot guarantee absolute security.
6. Your Rights
Depending on your location, you may have the right to: access the personal information we hold about you; request correction of inaccurate data; request deletion of your personal information; object to or restrict certain processing; and data portability. To exercise any of these rights, contact us at privacy@sanova.ai.
7. Cookies and Tracking
We use cookies and similar technologies to operate our Services, remember your preferences, and analyze usage. You can control cookies through your browser settings, though disabling cookies may affect Service functionality.
8. Third-Party Services
Our Services integrate with third-party services such as Google Calendar, Twilio (SMS/voice), and payment processors. Your use of these integrations is subject to those providers' privacy policies.
9. Children's Privacy
Our Services are not directed to individuals under 18 years of age. We do not knowingly collect personal information from minors. If you believe we have inadvertently collected such information, contact us and we will delete it promptly.
10. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of material changes by posting the new policy on this page with an updated effective date. Your continued use of the Services after changes constitutes acceptance of the updated policy.
11. Google User Data and Limited Use
When you connect a Google account to the Services (for example, to sync appointments with Google Calendar), we access only the data covered by the permissions you grant, and we use it solely to provide and improve the user-facing features you have requested — such as creating, reading, and updating your calendar events for appointment scheduling.
Sanōva’s use and transfer to any other application of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. In particular, we do not use Google user data to train, develop, or improve generalized or third-party artificial-intelligence or machine-learning models; we do not sell, rent, or transfer Google user data or use it for advertising; and we do not allow humans to read Google user data except with your explicit consent, where necessary for security or to comply with applicable law, or where the data has been aggregated and anonymized for internal operations.
You can review or revoke Sanōva’s access to your Google account at any time from your Google Account permissions page at myaccount.google.com/permissions, or from within the Services.
